Position: Executive/Administrative Assistant
The Executive/Administrative Assistant is a crucial member of the Global Treasury team, providing organizational support and ensuring the team's operational needs are met while fostering a positive work environment. Key Responsibilities:
- Provide daily administrative support to three Vice Presidents (VPs), including managing calendars, coordinating travel, and handling expense management.
- Support team-related tasks, including onboarding and offboarding, supply management, and ad hoc projects like employee engagement initiatives.
- Manage high volumes of incoming and outgoing emails and calls with discretion, particularly when handling sensitive and confidential information.
- Coordinate travel and expense management, including preparing necessary travel documents and booking complex domestic and international travel arrangements.
- Actively participate in meetings, manage organizational charts, and maintain team distribution lists.
- Assist team members with process-related questions and best practices.
- Oversee departmental assets, procure supplies and services, and perform other administrative tasks as needed.
- Prepare correspondence, conduct research, and organize pre-meeting materials for review.
- Perform other related projects and duties as requested.
Minimum Qualifications:
- Proven experience as an administrative assistant.
- Excellent organizational and prioritization skills with strong attention to detail, especially in calendar management.
- Ability to manage multiple tasks efficiently and meet deadlines.
- Strong communicator with the ability to influence at all organizational levels.
- Demonstrated ability to exercise good judgment, work independently, anticipate needs, and be resourceful.
- Positive attitude and energy, valuing personal excellence and a strong work ethic.
Preferred Qualifications:
- Highly proficient in Microsoft Outlook; proficiency in Excel, Word, and PowerPoint is a plus.
- Knowledge of platforms such as Concur, SharePoint, Cisco/WebEx, Ariba, Pilot, Workday, and TechCare is preferred.
